Position: Assistant Director of Athletics

Position Summary: The Assistant Director of Athletics is a 10-month position and is accountable to the Director of Athletics and Enrollment. The Assistant Director works cooperatively with members of the administration, faculty, staff, students as well as parents, guardians and members of other local schools athletic departments. The Assistant Director functions in accordance with the policies and procedures of Mother McAuley Liberal Arts High School and acts in a manner that ensures the smooth functioning of the department and the school.

Essential Duties: (other duties may be assigned)

Athletic Department Responsibilities
Be attentive to and review the athletic schedules on a weekly basis for accuracy.
Oversee online registration for sports tryouts.
Monitor and update compliance of student athletes which includes registration, physicals, liability waivers and emergency forms.
Create and communicate team rosters to the Principal's Office, Deans Offices and Registrar.
Communicate with head coaches as necessary and support their needs.
Provide support and mentoring for assistant coaches on coaching tips/techniques, managing conflicts with students and/or parents, etc.
Helps recruit the coaching staff for head coaches as well as recruits head coaches when necessary.
Ensures that all coaches and program volunteers have completed all mandatory background check requirements including VIRTUS training, CANTS, background check and mandated reporter.
Works with the school nurse to provide orientation and in-service for all coaches concerning OSHA procedures and State of Illinois Mandatory Reporting Laws.
Coordinate with a photography vendor for team and individual photos for all sports.
Oversee and manage uniform distribution and collection for assigned seasons and/or teams.
Organize and keep inventory of all athletic storage areas including uniforms.
Order supplies and equipment for each sport within an established budget.
In conjunction with the athletic director, develop a long-term annual replacement plan for uniforms that aligns to the athletic department financial plan.
Coordinate and manage team Mac-Spirit wear sales for teams with the Macs Ltd. Store manager.
Serves as athletic department liaison to the facilities team and manages maintenance, scheduling and repair needs with the facilities team.
Serves as the athletic department’s liaison to the school’s security team and works with them to provide adequate security coverage for athletic events on campus.
Communicates with our Director of Marketing & Communications and Digital Marketing Specialist to enhance public relations and the athletics footprint on social mediums as well as print mediums.
Assist with and help coordinate and plan coaches meetings, award ceremonies, signing ceremonies and other athletics events
Serves as a back-up representation for the athletic director at IHSA, GCAC, MCAC meetings and events.
When necessary, assist with various types and elements of event planning, reserving meeting spaces within and outside of the facility, ordering catering, etc., including events held outside of the school day hours.
Maintain records and relay correspondence of individual athletic awards, IHSA academic achievement awards and team season reports.
Oversee the management of accolades associated with each team and order or prepare materials and certificates for awards night.
Be present at athletic events, contests and events as assigned and determined in collaboration with the athletic department team.
Maintains membership in athletic related professional organizations.
Provide any other assistance to the Athletic Director that may be required or needed.
Game Day Responsibilities
Assists with recruitment of parent volunteers, other volunteers and paid workers for athletic events and contests.
Oversee concession stand and gate operations for assigned home games and events including:
Order and collect items for the concession stand.
Coordinate and schedule parent volunteers for the concession stand.
Oversee set-up, operations, and closing during the games and events.
Collect, record, and submit concession stand and gate money after games and events
Places orders to restock the concession stand prior to future events.
Works with facilities to ensure the set-ups are done for game day events.
Assist at home events, IHSA home contests and with game day preparations.
When necessary, attend away events/contests as assigned by the athletic director.
Assist with all IHSA tournament home contests.
When necessary, travel to IHSA state contests.

Financial Responsibilities
Collect, record and submit athletic fees.
Collect, record and submit entry fees for tournaments hosted by McAuley.
Order supplies and equipment for each sport within the established budget.
Oversee payment of all equipment invoices.
Collect, record and submit entry fees for tournaments hosted by McAuley.
Prepares financial forms and completes reimbursement forms for processing after approval.
Oversee the financial ledgers for the Athletic department including revenue and expenditures.
Maintain and balance budgetary records (purchase orders, invoices and vouchers).
Complete check requisition forms for the Business Office for payment of bills.

Education/Experience:
Must have a Bachelor’s Degree.
Must have previous experience.
Must be knowledgeable in the IHSA, NCAA and NAIA recruiting policies, regulations, and admission requirements.
Expertise and skill using Google Suite, MS Office and various aspects of related computer software and technological products.
Ability to learn database management systems.
