Position Overview:
The Office Manager serves as the central point of coordination for the parish’s daily operations, ensuring smooth administrative support and effective communication among staff, members, and visitors. This role requires excellent organizational skills, attention to detail, and a warm and welcoming demeanor. 

 

Key Responsibilities:
1. Administrative Duties 

  • Answer and direct phone calls, emails, and other correspondence in a professional and friendly manner. 
  • Welcome and assist visitors, providing information and resources as needed.
  • Manage church mail, including collection, sorting, and distribution. 

2. Bookkeeping 

  • Maintain accurate financial records and prepare regular reports for the financial committee. 
  • Process donations, ensuring confidentiality and proper allocation of funds.
  • Assist with budget tracking and payment of church expenses. 

3. Communications 

  • Write, compile, and distribute the weekly bulletin. 
  • Maintain and update church calendars, schedules, and announcements.
  • Serve as a liaison between church leadership, members, and external stakeholders. 

4. Resource Coordination 

  • Direct visitors to appropriate church resources or staff members. 
  • Maintain office supplies, ensuring the office is well-equipped to support church activities.

5. Event and Volunteer Support 

  • Provide administrative support for church events, including scheduling, communication, and logistics. 
  • Coordinate with volunteers as needed for special projects or regular duties. 

Qualifications:

  • Passion for serving the mission of St. Patrick Catholic Church 
  • Proven experience in office management, administration, or a similar role.
  • Strong organizational and multitasking abilities. 
  • Proficiency in bookkeeping software and basic accounting principles.
  • Excellent communication and interpersonal skills. 
  • A positive and service-oriented attitude, with a commitment to the church’s mission.
  • Familiarity with church operations and sensitivity to the needs of the congregation and visitors.

Work Environment:
This position is typically performed in an office setting within the church premises. The Office Manager should be comfortable interacting with a diverse range of people, including staff, members, and community visitors.

Reporting:
The Office Manager reports to the Pastor, Church Administrator, or designated committee.
