Cristo Rey Jesuit Seattle High School seeks a highly organized, discreet, and service-oriented Executive Assistant to the Principal. This essential role supports the day-to-day operations of the school’s main office while providing high-level administrative assistance to the Principal. The Executive Assistant is a trusted partner—managing confidential information, serving as the first point of contact for families and visitors, and helping the school embody its mission each day.

About Cristo Rey Jesuit Seattle High School:
CRJS opened in 2024-25 as a 9-12 Catholic school educating young people of limited economic means and all religious faiths to become “people for others.” Through a rigorous college-prep curriculum, integrated with professional experience and spiritual development, students graduate empowered to succeed as scholars and citizens. Position: Registrar & Principal’s Executive Assistant
Reports to: Principal
Job Classification: Full time, 12-month exempt
Salary: $65,000 – 80,000 annually, depending on experience.

Key Responsibilities
Administrative & Confidential Support
• Serve as a close partner to the Principal by scheduling meetings, managing calendars, and handling confidential documents with professionalism and discretion.
• Provide administrative support to the Principal and Assistant Principal, including coordinating instructional leadership meetings and annual school events.
• Ensure accuracy and compliance with school policies and all record-keeping procedures.

Front Office Operations & Communications
• Act as the first point of contact for families, visitors, and phone inquiries with warmth, professionalism, and a welcoming spirit. Including collaborating with other departments on visitor welcome and management.
• Assist and support students who come to the front office for various needs
• Provide timely communication support during emergencies or urgent events.
• Maintain the master school calendar and update the website calendar as needed.
• Support school-wide communication with families and serve as a liaison between students, families, and the leadership team.
• Manage all incoming and outgoing mail and packages.
• Receive and process payments to various departments, including checks.
• Support the Student Enrollment Coordinator during high-volume periods.

Registrar: Attendance & Records Management
• Maintain and update student records in the Student Information Systems (SIS), including building out SIS capacity under the direction of the Assistant Principal and with support from the Director of IT.
• Manage and oversee PowerSchool database, assisting with and training faculty and staff on grade reporting, communications, reports, and other database features.
• Oversee and record attendance in PowerSchool, including physical documentation, late slips, and creation of weekly attendance reports.
• Prepare and process transcripts, report cards, and enrollment verifications.
• Manage the collection, maintenance, archiving, and release of all student records and related documents.
• Support Assistant Principal or designee in logistics of testing for PSAT/SAT, MAP Growth testing. Run reports as needed
• Support scheduling and registration processes, including course changes and rostering.
• Maintain accurate academic and biographical records for students and families; ensure timely transfer of records for new and outgoing students.
• Maintain all student health, immunization, emergency, and authorization records, and complete annual immunization reporting.
• Build and manage annual registration forms in PowerSchool, approving each family submission.
• Ensure compliance with all applicable state and federal regulations regarding student privacy and data security.
• Ensure confidentiality and accuracy of all student records.

School Events & Logistics
• Manage and coordinate project plans and volunteers for school events; support faculty/staff appreciation efforts.
• Assist in planning and executing school events such as orientation, family conferences, and student celebrations.
• Oversee uniform inventory, restocking, and ordering.
• Coordinate production and distribution of the student planner/handbook and family directory.

Other Duties
• Streamline and oversee office supply ordering and inventory management.
• Support general school communications and perform additional administrative tasks.
• Perform other duties as assigned by the Principal.

PHYSICAL DEMANDS:
Consistent with light physical duties required of administrative office staff generally, including the lifting and transport of materials weighing up to 30 pounds, going to classrooms, traveling up/downstairs.

Qualifications
• Proven ability to handle sensitive and confidential information with integrity and discretion.
• Strong attention to detail and organizational skills; ability to manage multiple priorities in a fast-paced environment.
• Proficiency in Microsoft Office (Excel, Word, Outlook), Zoom, PowerSchool, and Google Suite.
• Excellent interpersonal, written, and verbal communication skills.
• A genuine passion for working in education, especially in a mission-driven, diverse high school setting.
• Cultural humility and a strong commitment to equity, inclusion, and the Catholic, Jesuit mission of the school.

Preferred Qualifications
• Fluency in Spanish, Amharic, or Tigrinya
• Experience supporting a school leader or working in an educational environment.
• High emotional intelligence, grace under pressure, and a collaborative, can-do attitude.
