Position Overview
The Executive Assistant of Dominican Veritas Ministries, Inc. (DVM) supports the Executive Director in fulfilling the organization’s mission and vision. As a key member of the sponsorship staff with outward-facing responsibilities, the Executive Assistant is a friendly, diligent, professional who values Dominican Catholic education and teamwork, is excited to be part of an entrepreneurial, innovative environment, works well independently, and brings excellence to accounting processes, board member support, scheduling, communications (written and verbal), and file management. This position is fulltime, remote, with benefits.

About Dominican Veritas Ministries, Inc.
Dominican Veritas Ministries, Inc. is a non-profit, Catholic and Dominican organization, established in 2022 by five US Dominican Sister Congregations to be the canonical sponsor of an initial nine elementary and secondary Catholic schools. In the summer of 2024, four additional schools were transferred to DVM by the Dominican Sisters of Peace. DVM is responsible for the successful formation and governance of its 13 sponsored ministries, supporting the elementary and secondary schools’ commitment to furthering the Catholic identity and Dominican charism with which they were founded. These efforts are accomplished through in-person gatherings, shared learning experiences, and dynamic collaboration across the entire DVM community.

Main Duties
The Executive Assistant works eight daytime hours per week, Monday through Friday. The main duties involve assisting the Executive Director with project development, business management, board engagement, travel planning, record keeping, data entry, scheduling, archiving, and email/phone correspondence, including follow-ups, confirmations, and reminders. In particular, this includes some of the following responsibilities:
● Manage the Executive Director’s meeting and travel calendar, and handle all travel arrangements including flights, accommodations, and ground transportation
● Support invoicing and certain other accounting processes
● Schedule and coordinate meetings, attend remote meetings to record and prepare meeting minutes
● Organize financial documentation including the preparation of monthly expense reports
● Prepare presentation slides and board meeting packets
● Support dynamic communication between the Executive Director and ministry constituents
● Compile project data into informative reports on assigned topics
● Support Sponsorship Staff in organizing and running events, conferences, gatherings
● Other duties as assigned by the Executive Director

● Connection–a natural ability to engage with and deepen relationships with the many members of the DVM community
● Timeliness– responsive to constituents’ timeframes to promote the ministry
● Flexibility–DVM is new and evolving and sometimes requires an adaptive approach to completing tasks

Position Requirements
● Minimum of 4+ years of Executive Assistant experience reporting to senior management; corporate experience preferred
● Advanced skill with office management and productivity software, including Google Workspace, QuickBooks, Microsoft Suite, Adobe, Slack, Zoom
● Full time residence in the United States
● Occasional travel to conferences, meetings, etc.

Compensation:
Commensurate with experience and based on 8 daily day-time hours, 40 hours Monday-Friday, the potential salary range is $60,000-$65,000 plus benefits.
